PARTNER Messaging mailbox users can set the Call Answer Mode for their mailboxes. If the Call Answer Mode is set to Answer-Only Mode, callers reaching that mailbox will hear the user's mailbox greeting but will not be offered an opportunity to leave a message.

Auto-Copy Mode

Available in Release 6.0 or later, PARTNER Messaging mailbox owners can set the Call Answer Mode for their mailboxes to Auto-Copy Mode. If the Call Answer Mode is set to Auto-Copy Mode, callers reaching that mailbox will hear the owner's mailbox greeting and will be offered an opportunity to leave a message. If the caller leaves a message, a copy of the message is also left in another mailbox that the mailbox owner specifies. The caller is not aware that the message is also left in another mailbox unless the mailbox owner explains it in their Personal Greeting. Messages marked Private are not copied to the other mailbox. In Release 7.0 or later, multiple mailbox owners can send a copy of their messages to a single mailbox.

Auto Dial Button

A programmable button on a system phone that lets the user dial a series of digits simply by pressing that button. An Auto Dial button can be used to dial the voice messaging system with one touch. See also Programmable button.

Automated Attendant Main Menu

The first menu that callers hear when a PARTNER Messaging Automated Attendant answers a call. The Main Menu plays a list of options to the caller. The caller selects an option by entering the corresponding Selector Code (a numbered choice, i.e., 1–9) from the Automated Attendant Main Menu. Based on a predefined association between Main Menu options and Selector Codes, the Automated Attendant will route the call to a specific extension, Centrex phone number, mailbox, submenu, or announcement or will disconnect the call. The System Manager can program a Day and a Night Main Menu for an Automated Attendant. See also Selector Code.

Automated Attendant Main Menu Prompt

The voice prompt that is played to callers whose calls are answered by a PARTNER Messaging Automated Attendant. The Main Menu prompt typically greets the caller with the business name and offers a list of options from which the caller can choose, such as, transferring to an extension or hearing an informational announcement.

The language choices are U.S. English, Latin American Spanish, and Canadian French. See also Primary Language and Secondary Language.

C

Call Answer Modes

The PARTNER Messaging feature that enables a user to determine whether or not callers can leave messages in the user's mailbox. If the user selects "Answer-Only Mode," callers will hear a greeting but will not be able to leave a message. The callers can, however, transfer to another extension. If the user selects "Record Mode," callers will hear a greeting and be prompted to leave a message after a tone is heard. Callers can then leave a message and/or transfer to another extension. If the user selects "Auto-Copy Mode" (available in Release 6.0 or later), callers can leave a message and a copy of that message is also sent to another mailbox—one that the mailbox owner specifies. The caller leaving the message is not aware that a copy of the message is being sent to another mailbox unless the mailbox owner explains this in their Personal Greeting. Messages marked Private are not copied to the other mailbox.

Call Answer Service

The PARTNER Messaging feature that allows callers to leave a message in a user's mailbox or to transfer to another extension when the user has not answered the call.

Dial 0/Timeout Action

Automated Attendant feature that determines how a call is processed when the caller dials 0 (zero), does not make a selection from an Automated Attendant Main Menu or Submenu or when the caller dials 0 from an Automated Attendant Announcement. The Dial 0/Timeout Action can be set to disconnect the call or to transfer the call to the System Operator, to the General Mailbox, to an extension or to a mailbox. The PARTNER Messaging System Manager programs the Dial 0/Timeout Action separately for each Automated Attendant's day service operation and for each Automated Attendant's night operation.

Directory

Users are listed in the Directory by either their last names or their first names. Callers and users can use the Directory to reach a user whose extension they do not know. In addition, users can use the Directory to address messages to other users. In Release 7.0 or later, the name or extension that a caller is being transferred to is announced when the Directory is used from the Call Answer Server, Automated Attendant Service, or Voice Mail Service.

Directory Lists

In Release 7.0 or later, a system-wide Directory List is automatically created and assigned to Submenu 99 in the Automated Attendant Service. The system-wide Directory List contains all user names and extensions known to the messaging system. PARTNER Messaging maintains the system-wide Directory List by automatically adding and deleting extensions in the list as extensions are added and deleted from the system. In addition, you can create up to four customized Directory Lists and assign them to submenus. A submenu with a Directory List assigned is called a Directory Submenu. A customized Directory List contains a subset of names and extensions included in the system-wide Directory List, for example members of a Department. A caller listening to the Directory Submenu can enter the desired extension at any time and be transferred to that extension. Directory Lists simplify the process of creating playable directories that callers hear when they use the Automated Attendant Service. A name must be recorded for the extension number in order for the system to announce the name when the Directory Submenu is played. If a name is not associated with the extension, it is skipped and not announced. The mailbox owner can record their own name or you can record the name when you program the Mailbox Extension. (Note that during administration of a Directory Submenu, you will hear all names and extensions that you have included in the list, even if the name has not been recorded.) When a mailbox extension is deleted from the system, it is automatically deleted from the customized Directory List (and from the Directory Submenu where the list was assigned). If a new mailbox extension is added to the system, it must be added to the customized Directory List.

Directory Submenus

In Release 7.0 or later, Directory Lists can be created and assigned to a submenu in the Automated Attendant Service. A submenu with a Directory List assigned is called a Directory Submenu. See Directory Lists for more information.

Directory Listing and/or Recorded Name

Users and callers can use the Directory to reach a user whose extension they do not know. Users can also use the Directory to address messages to other users. A Directory listing can be up to ten letters in length. The user's name can also be recorded. Both the System Programmer/Manager and the user have record capability, but only the System Programmer/Manager can program a Directory Listing for an extension.
