This field is used to record up to the first ten letters of the first or last name of the person or the name of a work group associated with the extension. When planning Directory entries, decide whether you want to use first or last names. All names in the Directory must be entered based on your choice to prevent confusion for Directory users. If you do not plan to use the Directory feature or if you do not want an extension listed in the Directory, leave this field blank. Each letter of the user's or workgroup's name has an associated two-digit code. You must translate each letter into its two-digit code and write this code in the space provided below each letter. Refer to the Key on the form.
Input:
The Message Length setting represents the maximum length of time a caller has to record a message in a user's mailbox. It is also the maximum length of time a user has to record a message that is sent to another user. You specify a maximum length on a per mailbox basis. The message length must be less than or equal to the mailbox size.
Input: 2 - 60 minutes
Factory Setting: 4 minutes
You can specify the maximum size for a user's mailbox, on a per mailbox basis.
Input: 5 - 180 minutes
Factory Setting: 20 minutes
Recommendation: Set the Mailbox Size to meet the user's needs. When specifying
this information, keep in mind that the total amount of time allocated for all
mailboxes can exceed the system's maximum storage capacity of 100 hours. However,
once the system capacity of 100 hours of message storage is reached, no additional
messages can be accepted until messages are deleted to free space. If the Record-a-Call
feature is permitted for the mailbox, you must make the Mailbox Size larger
than the maximum size designated for the mailbox's Record-a-Call message.
You can specify whether or not a user's mailbox has Outcalling privileges. The Outcalling feature dials up to five designated telephone numbers or pager/beeper numbers designated by the user to notify the user that a new message has arrived in the user's voice mailbox.
Input: On
(permitted) = 9
Off (not permitted)
= 6
Factory Setting: 6
Recommendation: Port(s) used for Outcalling are Port 2 on a 2-port system,
Port 4 on a 4-port system, and Ports 5 and 6 on a 6-port system.
For each mailbox, you can specify the language users hear after they log in to their mailbox. You can assign any one of the three languages, regardless of the Language Mode or Language(s) that have been programmed for the system.
Supported languages are:
Input: Select one of the languages listed above.
| Factory Setting: |
Monolingual Mode:
programmed System Language |
Recommendation: If you do not set a language, the Mailbox Language will change to whatever language is selected for the System Language (Monolingual Mode) or Primary Language (Bilingual Mode). Selecting a language ensures that a change to the System Language or Primary Language does not affect the Mailbox Language.
Record-a-Call (RAC) is a feature that allows users at an internal extension to record their conversation while active on a call and store it in their mailbox. The extension must be programmed as a mailbox extension. The RAC Message Length setting represents the maximum length of time that the conversation can be recorded. This feature is administered per mailbox.
Input:
1 - 60 minutes
Factory Setting: 0 (Off)
Recommendation: The RAC message length cannot be longer than the mailbox
size.
Available in Release 6.0 or later, the Phantom Mailbox capability allows messages left for a Phantom Mailbox to be deposited in a different mailbox. Messages are not left in the Phantom Mailbox, but are left in the destination mailbox you specify. This feature can be used to assure messages are forwarded to an active mailbox when a mailbox becomes vacant. It can also be used to provide a common mailbox for two extensions, each with a different greeting. In Release 7.0 or later, multiple Phantom Mailbox extensions can share the same destination mailbox.
Input:
The Phantom Mailbox extension and a destination extension. Also add a plus sign (+) next to
these extensions listed in the "Ext." column to indicate they are programmed as a Phantom Mailbox
and destination extension.
Factory Setting: none
Recommendation: Confirm the Mailbox Size of the destination mailbox is
sufficient enough to accommodate the additional messages that could be stored
there.
