Enterprise List moderator instructions

This topic provides information about the role of the Enterprise List moderator, as well as detailed instructions about the moderator's reply options and ways of communicating directly, if necessary, with the Message Networking system.

Note: A moderator can only be an SMTP/MIME type sender.

A moderator, if activated for an Enterprise List, is the first recipient of every message sent to that list. A request for moderator approval is sent along with each message, and the moderator's approval is required before the message can be distributed to all members of the list. If the moderator does not respond within a set period of time, also known as the status message expiration time, the message is automatically deleted and is not sent to any recipients. The default value for the status message expiration time is seven days. Contact your system administrator to learn more about the status message expiration time.

When the moderator receives a request for approval, he or she must respond to the request by sending a reply email message that includes the original notification body (without the attachments) and the moderator's response in the subject line.

Use one of the following words for message approval (not case-sensitive):

  • Yes
  • Accept
  • Approve

Use one of the following words for message denial (not case-sensitive):

  • No
  • Reject
  • Deny

Note: The moderator's response must be in the subject line, not the body, of the reply message. When the moderator responds to a request for approval, he or she will receive a message acknowledging receipt of the response.

Note: When a moderator sends a message to a list, approval of the message is assumed. No approval request will be sent to the moderator before the message is distributed.

Moderators can also manually send approval or rejection messages to the Message Networking system. This could be necessary if the moderator doesn't receive the original request for approval, or if the original request is accidentally deleted or lost. Manual messages of this sort must be sent to the system mailbox in text format using the correct mailbox ID.

To send a manual approval or rejection message to the Message Networking system:

  1. Address the reply in the following way: mailbox [email protected]. To create the correct mailbox ID, enter a series of zeros followed by the number five (5) to create a number equal to the number of digits in a network address on the system.
    For example, on a Message Networking system using 7-digit mailbox IDs, the correct system ID will contain six zeros followed by a five. The message would be addressed to [email protected].
  2. Type your approval or rejection message in the subject line of the reply message.
    Note: The approval or rejection message must appear in the subject line of the reply message.
  3. Enter the Enterprise List ID and message ID in the body of the message, using the following format:
    {|} Elist ID: <E-List ID> Message ID: <the ID of the message> {|}
    For example: {|} Elist ID: 8084051 Message ID: 21476 {|}
  4. Send your reply message.

Note: Contact your system administrator for the correct system name, Enterprise List ID and message ID information.
