For Example If I would like to search for Tom Smith.

As I am aware we need to search using surname i.e Smith in this case.

Should I be using key strokes as 76484*8 (If this is true, how to overcome overlapping names like Pmith (just example) as surname which have same sequence)

    or

Should I be using key strokes as 77776444844*8 (Some names still do not show up in search even if they are correctly formatted without any special characters or spaces)

Usually as you are keying in a name, the called PBX will offer you a selection of names from which to choose. So you will can select either "smith" or "pmith" as needed.
