This article provides information on the data retention policy and limits for;

  • Call recording
  • Fax
  • Voicemail
  • Text message (SMS/MMS)
  • Messaging 
  • Call log
  • Analytics data
  • Audit Trail

 

For Call recording, Fax, Voicemail and Text message, if data needs to be retained for a period greater than specified below, the feature Archiver** (found in Service web at More > Apps and Resources) must be used to backup data to external storage.

For Call Log, use Download or Delivery Settings buttons to backup.

For selected Analytics Reports, a Download button is available.

 

Avaya Cloud Office’s current data retention policy will retain customers’ data as follows:

Messaging Default Option, is Never Deleted.
Other Preset Options 30 days,
60 days, 90 days
When this setting is changed, that change resets the deletion clock.
For example
Changing the policy from 30 days to 60 days 
Only conversations that happen on or after
June 1 will be deleted once 60 days have passed.

 

NOTE: The Inbox message cap is 200, however, the messages are not deleted right away. Deleted messages are stored in the Deleted folder for 5 days. The system performs a periodic audit and automatically deletes the excess messages from any mailbox with over 200 messages. After which, the deleted messages are permanently removed from the Avaya Cloud Office system and can no longer be retrieved. The maximum number of messages returns back to 200 by then.

*Duration x Count/Size - The trigger for deletion is what comes first.

** Archiver is only available on Premium and Ultimate plans

***  200 messages for inbox is the sum of voicemail + faxes. 
For Sent faxes, duration is 30 days with no size limit.


Note: Only company admins can request changes to a data retention plan, and they must do so by contacting Customer Support.

Avaya Cloud Office analytics doesn’t support requests for changes to data retention plans.
